Everything we do with information about living people – such as how we collect it and who we share it with – has to comply with the Data Protection Act. A key part of this is being open about how we use information and what rights we all have in respect of it.

Share Peterborough is part of Peterborough City Council and the Circular Peterborough initiative is a great way to create the UK’s first circular city. Share Peterborough facilitates circularity amongst the business community, providing an easy way to tap into local resources and make the most of them. It helps generating economic, social and environmental value to each member, and to the whole City too. This notice tells you what information we collect and process about you when you sign up to Share Peterborough.

What information do we hold and about whom?
We may collect and process information about people who consent to be part of the Share Peterborough community. The kind of information we may process could include:

  • Name
  • Address
  • Contact details
  • IP Address/online identifier such as user name
  • Company name
  • Photograph if you provide one
  • Financial and credit information
  • Text relating to you

Storage and security

The information we collect is held electronically in both inside the EEA and some information is held outside the EEA, namely the USA. All data stored in the USA is with parties who are in compliance with the EU-US Privacy Shield Framework.

All information you provide to us is stored on third party secure servers. Where we have given you (or where you have chosen) a password which enables you to access certain parts of Share Peterborough, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to Share Peterborough; any transmission is at your own risk. Once we have received your information, we have strict procedures and security features to protect the data. Only staff who require access to the data will be given access.

Website Analytics and Cookies

All visits to our webserver are logged. The log includes details of the date and time of the request, the page that was being requested, your computer’s network address (IP Address), the cookies that are being used by our site and the type of web browser you are using. The logs are not used for any purpose other than to analyse visitors to the site. Please see the “Cookies” section below. We use analytical and statistical tools to monitor visits to our website. This information may include pages visited, resources accessed, traffic data but we collect this information in a way which does not identify anyone. We do not make any attempt to find out the identities of those visiting any of the council owned sites. We will not associate any data gathered from this site with any personally identifying information from any source.

Why do we have it and what do we use it for
We only have your information if you consent to it being held by the council. When you sign up for the service, we will use your information as follows:

  • to provide you with information about other services we offer which are similar to those that we have already supplied to you, which you have enquired about or which we feel may interest you;

  • to conduct and publish evaluations of the economic, social and environmental impact of Share Peterborough which will not identify you
  • to administer Share Peterborough and for internal operations, including troubleshooting, data analysis, testing, research, statistical and survey purposes;

  • to allow you to participate in interactive features of our service, when you choose to do so;

In providing your consent then you agree to the use of your data in the way described above. This means that other businesses or suppliers may be able to see your details. If the council transfers the management of Share Peterborough to a third party then will inform you of this.

We may also share your information where there is a legal obligation to do so such as fraud prevention/detection or if we need to enforce or apply the site’s terms and conditions.

How long we keep hold of information for
We only keep information for as long as it is needed in relation to your account and for as long as you consent to us holding the information.
